Sr. Resource Manager & Operations Analyst

The Opportunity

The Operations & Traffic Manager is a critical, cross-departmental (Experential, Strategy, Creative, and Digital) operations role. Equal parts data analyst and resource manager, this individual will partner closely with business leads, department heads, and executives to ensure optimal operational efficiency and resource utilization across the agency.

This role is responsible for pulling, analyzing, and synthesizing data from the agency’s operating system (Workbook) to deliver actionable insights. It also manages end-to-end resourcing through the agency’s resourcing platform. By supporting capacity planning, forecasting availability, managing utilization rates, analyzing win rate data, and optimizing budget efficiency, the Strategist will be instrumental in enabling informed decision-making, controlling FTE and freelance spend, and ultimately driving the agency’s success.

Additionally, this role oversees the management of the clients freelance database and ensures a comprehensive understanding of internal and external resources. The Strategist will champion a program that identifies subject matter experts and enthusiasts within specific verticals, as well as team members with unique passions, brand knowledge, or experience. Leveraging this expertise, they will align resources to projects that maximize efficiency and creativity.

What you will do… 

  • Data Analysis & Reporting:

    • Extract, analyze, and report on key resourcing metrics such as utilization rates, time planned vs. time used, cost variance, and gross/net profit margin. 

    • Provide suggestions and analysis on the agency fee structure.  

    • Provide high-level analysis across project types to identify patterns and opportunities for improvement.

    • Deliver clear, actionable insights to department heads and partners for strategic decision-making.

  • Resource & Traffic Management:

    • Oversee resource allocation for new business, RFPs, and projects

    • Manage cross-departmental capacity planning across global teams to leverage resources, maintaining a holistic view of department staffing and resourcing priorities 

    • Ensure time forecasts are created and entered into the system, and team members are notified of new assignments.

    • Make recommendations for resource adjustments based on utilization rates, availability, and billability metrics.

  • Freelancer Database Management:

    • Maintain and optimize the agency’s freelance talent database, ensuring it is up-to-date and comprehensive.

    • Identify and document subject matter experts, vertical-specific enthusiasts, and team members with relevant brand knowledge or unique interests.

    • Champion programs to leverage internal and external expertise, aligning the right talent to the right projects.

  • Strategic Consultation:

    • Act as a trusted advisor to agency leadership, providing data-backed recommendations to improve operational efficiency.

    • Collaborate with executives to align resources with agency priorities and goals.

    • Develop frameworks for resource management where none currently exist.

You must have…

  • Experience in operations or traffic management, preferably at a creative agency.

  • Strong experience in resource management software like Float or Forecast 

  • Strong analytical skills with expertise in pulling and interpreting data to inform business decisions.

  • Comfortable working in a fast-paced, dynamic environment with ambiguity.

  • Self-starter with the ability to independently identify problems and create solutions.

  • Deep understanding of resource management principles, balancing the "art and science" of the process.

  • Excellent interpersonal skills and the ability to work collaboratively across departments.

  • Proficiency in Workbook or similar project management/agency operations software.

  • Bachelor’s degree or equivalent experience.


The salary range for this role is $80,000 - $100,000 and is based on experience, responsibilities of the position, subject matter expertise, and location-specific.
